Publication Award Program: How to Enter, etc.

We have made a few minor changes to the entry process and updated our documents to make them easier to read.

What are the categories?

All categories are the same as for the previous awards year. Click here to download the Publication Award Classes and Rules (129K PDF).

We've updated our Publication Awards Guide (above) to improve clarity, but we have not made any changes to categories.

How do I submit entries?

We accept entries two ways:

NOTE: Each article must include a properly filled in entry form. A manifest listing all your entries must also be completed.

When are entries due?

Entries are due on February 28th. We have extended the deadline thirty days from past years. We occasionally extend the deadline due further due to extenuating circumstances.

When will judging take place?

Judging takes place over three months in March, April and May. Results are compiled in June. Winners are generally posted in July. Since we receive hundreds of entries and judging is done entirely by volunteers, it can take some time. We appreciate your patience.

What is the general process?

Entering is easy! Here's the basic process:

  1. Review the entry categories in the Publication Award Guide (129K PDF).

  2. Identify articles from your society's last calendar year publication.

  3. Decide whether you want to submit on paper or via PDF

Electronic Submissions (Preferred)

  1. Create a PDF of the article pages from your original publication

  2. Fill out an electronic entry form.

  3. Convert the electronic form to PDF

  4. Combine the form and the article in Acrobat to make a single PDF

  5. Name the file: category-entry-society.pdf
    e.g. GCCA's 2nd entry in Category 13 would be;

    013-02-gcca.pdf

  6. Compile a list of all your entries on Submission Manifest.

  7. Make sure that the total number of items in the manifest matches accurately with what you are submitting.

  8. Burn all your entires to CD and send in the mail to FAAS.
    (Alternately, you can post the PDFs to a public file sharing system.

Paper Submssions

  1. Copy or print the article submission.

  2. Attach a paper entry form. (staple it)

  3. Compile a list of all your entries on Submission Manifest.
    • Make sure that the total number of items in the manifest matches accurately with what you are submitting.

  4. Compile a list of all your entries on Submission Manifest.

  5. Print out the Submissions Manifest and include it with your submission.

  6. Compile all the entries and send in the mail to FAAS.

Do I have to submit electronically?

At a minimum, the Submissions Manifest must be submitted electronically via email. The Submissions Manifest is an Excel document which lists all the submissions for your club.

We strongly encourage you to submit all entries electronically. This makes it easier on the judges and speeds the process. And-- it's greener, too!
Submitting electronically is optional, but may save your club on photocopying and mailing costs.
